Microsoft Exchange vs Mailcow: Exchange has long been the go-to email solution, but is it still the best choice, or just the most familiar

For many small and mid-sized businesses, Exchange is an expensive heavyweight they may not need. That’s why I spent nine months using Mailcow, an open-source alternative—and it outperformed Exchange in many ways (for my use case at least).

After setting it up across four domains, the experience has been excellent. So why are businesses still overpaying when better, cheaper options exist? Let’s put them face to face…

MS Exchange vs. Mailcow: Setup Time

One of the first things that stood out was the huge difference in setup time:

Microsoft Exchange

• 1 hour – Install Windows, configure it, and join the domain, etc
• 4 hours – Install Exchange, configure mail flow, set up the database, and secure everything with certificates.

Total: ~5 hours

Mailcow

• 30 minutes – Install Ubuntu Server and secure it.
• 30 Minutes – Install Docker and set up Mailcow.

Total: ~1 hours

With Mailcow, you’re not just saving time; you’re also getting a bunch of pre-configured features right out of the box, including:

• Antispam
• Antivirus
• Let’s Encrypt certificates with auto-renewal
• DMARC signing
• Greylisting
• Brute force protection
• IPv6
• Multiple Domain Support

Exchange, on the other hand, requires manual configuration for most of these features, making setup more complex and time-consuming.

Maintenance, Features, and Cost

Maintenance and Updates

On Exchange you first need to find out the version of Exchange you have installed, find the compatible version of the update from the Microsoft website, download the Update file and run it.

This Process can easily take about 30 Minuten, , if you plan to install Windows Updates with it, add 10 minutes so about 40 minutes to Update Windows and Exchange.

Mailcow on the other hand, is much faster and easier to update, all you need to do is running the following command:

apt update ; apt upgrade -y ; cd /opt/mailcow-dockerized ; ./update.sh

And thats it, with this command you update the system and Mailcow in less than 3 minutes.

Cost Efficiency

• Mailcow: 100% free & open-source—no licensing fees.
• Exchange: Requires Windows Server + Exchange licenses, which add up quickly.

Unless you’re a large enterprise with highly specific needs, Mailcow provides all the essential features without the heavy costs or complexity.

Even if Active Directory integration is important for you, Mailcow got you coverd, as it has an AddOn for that.

9 Months with Mailcow: Real-World Experience

After using Mailcow for nine months across multiple domains, I can confidently say that it has exceeded my expectations. Here’s a breakdown of my experience:

1. Reliability & Uptime

One of the most impressive aspects of Mailcow is its stability. Over the past eight months, my Mailcow server has experienced an average of just 3 minutes of maintnance per month mostly due to security updates.

For comparison, Microsoft Exchange updates often result in longer maintenance windows, requiring 30+ minutes —sometimes even more if unexpected issues arise. With Mailcow, the process is quick and seamless, ensuring minimal disruption to email services.

2. Performance & Speed

Mail delivery is blazing fast, and Mailcow’s built-in optimizations ensure smooth performance even under heavy load.
